SAJESA Constitution

This Constitution is temporary as NOT all SAJESEANS have put their input or ideas in it!

PART ONE

NAME
1) The association shall be known as Saint Joseph's Ex-Students'
Association – SAJESA
2) Its motto shall be << G r o w t h i n u n i t y >>

AIMS
3) To bring together (unite) all ex-students of Saint Joseph's
Catholic Comprehensive College (SJCCC) Mbengwi and to establish a
good relationship among them.

MEMBERSHIP
4) Membership is open to all students who have had the privilege
to study in
SJCCC Mbengwi for at least an academic year.

REGISTRATION
5) Every student who wishes to become a member of SAJESA must
pay a non-refundable fee of 2000FCFA

PREVILEGES
6) Every registered member of SAJESA shall have the right to
take part in any activity organised by the association.

OBLIGATIONS

7) Every registered member of SAJESA shall pay a defined sum of
money specified by the Executives for the running of the association.
However, he/she shall be entitled to enjoy all the benefits according
to his/her contribution.

8) Every SAJESAN shall be oblarged to respect and defend the
association as long as it survives.

PART TWO

ELECTIONS
9) The members who are responsible for the management of the
association shall derive their powers from the General Assembly (G.A)
through elections unless otherwise provided for on this constitution.

10) All members entering for any post are required to pay a fee
of not less than 1000FCFA.
The following Posts shall exist in the association and
shall be voted for

A) President of SAJESA
11) i) Elected by the General Assembly he/she shall be the head of
the association
ii) He/She shall implement the policy of the association
iii) He shall ensure respect for and defend the association.

12) i) The President of the association shall be elected by a
majority of the votes cast by
the General assembly.
ii) He shall be elected for a term of office of one year. He
shall not be eligible for re-elections as President except or otherwise stated
by the General Assembly.

iii) The President of the association shall come from the most
senior batch or class
iv) Elections shall be held not less then 10days and not more
than 20days before the
expiry of the president of the Association in office.

13) The President-Elect shall assume office once he has been sworn in
by the General
Assembly.

14) i)The President shall represent the association in all aspects of
life.
ii) He shall be vested with the powers to sanction any other
executive approved by a
two-third majority.
iii) In the event of a sanction of a member, he can appoint a
member of the General
assembly to fill the vacant post until the member
completes his/her sanction.

15) The President shall be sanctioned by a two-third majority of the
General Assembly if he/She goes contrary to the constitution
Following this sanction, the Vice President shall replace him/her
until he/she completes his/her sanction.

16) The President may delegate his/her powers to the Vice President
or to any other
Executive when he is temporary unavailable to exercise them.

B) Vice President
17) i) He shall chair meetings in the absence of the president.
ii) He shall represent the President by delegation of the
President or of the G.A when
the President is on sanction.
iii) He can be either a senior or a junior member of the
association.

C) Secretary-General
18) i) The Secretary General (S.G) shall take down the minutes in all
meetings.
ii) Such minutes must be read before the beginning of the
meeting and adopted by
half the members of the G.A.
iii) The minutes must be signed by the President or the V.P and
the S.G
iv) Such records shall be in possession of the S.G.
v) In the absence of the S.G, any member of the G.A can be
appointed to execute
his/her functions.

D) Financial Secretary
19) i) He shall have jurisdiction in matters pertaining to finance.
ii) All monies in the form of registration or associational
dues shall be paid to
him/her.
iii) He shall be the only one to hand money to and collect
money from the Treasurer.
iv) Any transaction made must be signed by the President, the
Financial Secretary and
the Treasurer.
v) He shall keep all the financial records of the association.

E) Public Relations Officers/ General Organisers
20) i) They shall have the powers to organise and co-ordinate social
activities.
ii) They shall take care of publicity strategies and serve as
informants of the
association by:
- informing members on extra ordinary sessions of the
G.A or the Executive
Council
- maintaining good external relations with other
associations and groups.
-issuing info with the approval of the President.

F) Treasurer
21) i) He/She shall be the banker of the association.
ii) He/She shall receive money from the Financial
Secretary as Revenue as well as give
money to be used as expenses.

G) Religious Co-ordinator
22) He shall co-ordinate religious activities and serve
as a delegate of the Association to
the Church.

H) Sports Co-ordinator
23) He shall adjucate all activities pertaining to sports
by controlling and organising the
team sports of the association

PART THREE

THE GENERAL ASSEMBLY- MEETINGS

24) i) The G.A shall legislate and control actions by the
executives.
ii) The G.A shall meet in sessions known as
Meetings which shall take place on the first and last Sundays of each
month except or otherwise revised.
iii) The President of the association shall be the
chairman on the G.A and the Secretary General shall be the secretary.
iv) Decisions taken in the G.A shall be passed as
binding laws if and only if two-thirds of its votes are declared.
v) The G.A shall have the power to modify the
constitution and present a draft which the executives should execute
in the form of policies.
vi) The G.A shall be the only organ to approve the
budget the association will run on.

25) i) A fee of 50FCFA shall be paid by those who
come late for meetings and an absentee fee of 100FCFA shall be paid
by those who totally absent from meetings with no tangeable reason(s)
ii) Any unregistered member shall be denied the
rights of a vote and also the right of benefiting from its socio-
cultural activities.

THE EXECUTIVE COUNCIL/ COMMITTEE

26) i) The Executive Council shall be made up of the
Executive members of the association and (or) the Technical Advisers
nominated by the G.A
ii) The President of the Association shall be the
Speaker of the Executive Council and shall ensure its smooth running.

27) i) Decisions taken by the Executive Council shall
be the definition of policies, control of the executives and the
implementation of policies usually voted by two-thirds of its members.
ii) The Executive Council shall serve as the
Technical Adviser to the General Assembly.
iii) The Executive Council shall meet in private
meetings usually different from the G.A meetings at least once a
month in order to access the functioning of the executives, reject
and accept decisions passed by the G.A etc.

FINAL PROVISIONS

28) i) The Constitution of SAJESA shall be applicable
to the association on the date of entry into force of this
constitution and could be modified by subsequent laws and regulations.
ii) This law shall be registered and published in
the official documents of the association; drafted by the General
Assembly and endorsed by the President of the Association as the
CONSTITUTION OF SAINT JOSEPH'S EX-STUDENTS ASSOCIATION (SAJESA)
